Program Manager Assistant III

RESPONSIBILITIES:
Ensure customers, vendors and employees are handled in a professional and courteous manner, both on the telephone, in email and in person.
Assist with the completion of bids and proposals by performing data entry, grammar checks, collation of material and other administrative tasks as requested.
Establish and maintain electronic files for all customer communication including, emails, RFQ's, RFI's, RFP's, ROM's and any other type of training request.
Responsible for follow up communication with customers, such as sending all training coordination documents, welcome packets, start time and locations, instructor information and any other coordination tasks required.
Attends weekly training meetings to ensure training resources and instructors are assigned, meals and lodging reservations are complete, and student information is assigned in Polaris database.
Coordinate with the Project Control Team to assist with project set up of new contracts and courses.
Other duties as assigned or required.
QUALIFICATIONS:
Bachelor's Degree preferred.
Five years of experience in an office setting required.
Must be proficient in Microsoft Office applications.
Effective verbal and written communication skills with all levels of the organization
Strong organizational skills with the ability to manage time and multiple priorities to completion.

WORKING CONDITIONS:
Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday through Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required.
PHYSICAL REQUIREMENTS:
May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
